Terms of Service

These Terms are an agreement between you and Select Transfer Portal, LLC ("Select Transfer Portal", "we", "us"), the company that runs selecttransferportal.com (the "Service"). By creating an account or using the Service you agree to these Terms and to our Privacy Policy. If you don't agree, please don't use the Service.

1. What the Service is

Select Transfer Portal helps families, teams and coaches in youth sports find each other:

• Parents create a profile for their player so Team Coaches can find them.
• Team Coaches list a team (age group, level, openings, tryouts) and can search for players.
• Private Coaches list lessons and training services.
• Guests can browse limited listings without an account.

We are a listing and introduction service. We don't run teams, tryouts or lessons, we don't employ coaches, and we don't verify every detail people post. During the beta many listings are samples, not real teams. They are marked as samples.

2. Who can use it

• You must be 18 or older to create an account. Accounts are for parents/guardians and coaches only.
• There are no child accounts. A parent creates and controls the profile for their own player. Children should not create accounts or contact anyone through the Service.
• You must give accurate information and keep your login secure. You're responsible for what happens under your account.
• One Team Coach account manages one team. One Parent account manages one player (for now).

3. Your player's privacy (Parents)

• Your player's name is private and never shown to anyone on the Service.
• Your player's birth month and year are never shown; we use them only to work out an age group.
• You choose what coaches see with your visibility setting (Invisible, Anonymous or Full custom). You can change it at any time.
• Coaches can message you through our anonymous relay email without seeing your address, unless you choose to show it.

4. Your content

• You own what you post (team details, profile text, photos). You give us permission to store, display and format it on the Service so it works as described. That permission ends when you delete the content or your account, except for copies kept as described in the Privacy Policy.
• Only post photos you have the right to use and permission to share. Don't post photos that identify a child by name or school. Team and coach photos should show adults or teams in a general way.
• Don't post anything false, misleading, hateful, harassing, sexual, violent, or that shares someone else's personal information.
• We may review, hide or remove content or accounts that break these Terms or that we reasonably believe put someone at risk.

5. Contacting people through the Service

• Use contact details and relay messages only to talk about teams, tryouts, lessons or pickup games.
• No spam, bulk recruiting blasts, selling, or contacting a child directly.
• Relay messages have limits (for example, a cooldown between messages to the same family). Don't try to get around them.

6. Reporting and moderation

Anyone with an account can report a team, private coach or player profile (including photos). Reports are private and reviewed by us. We may hide a listing, remove a photo or close an account. We don't promise to act on every report, and moderation decisions are ours to make.

7. Paid plans (Team Coaches and Private Coaches)

• Team Coach and Private Coach listings require a paid plan after a free trial. Current prices are shown on the plan page before you pay. Prices exclude tax.
• Payments are processed by Stripe. We never see or store your full card number.
• Free trial: a card is required. You won't be charged until the trial ends. If you cancel before then, you won't be charged.
• Renewal: plans renew automatically (monthly or yearly) until you cancel. You can cancel or turn off auto-renew at any time in the billing portal. Your listing stays active until the end of the paid period.
• Promo codes are applied at checkout and may have their own terms (for example, how long the discount lasts).
• Refunds: charges are non-refundable except where the law requires otherwise, or where we decide to issue one.
• Deleting your account cancels your subscription immediately. Remaining time isn't refunded.
• During the beta, payments may run in Stripe test mode, and no real money is charged.

8. The beta

The Service is in free beta. Features may change, break or be removed, and sample listings are not real teams. We may change or end the beta at any time.

9. Disclaimers

The Service is provided "as is". We don't guarantee that any team, coach, player or listing is accurate, available, safe or a good fit. Families and coaches are responsible for checking each other out, including background checks, credentials, sanction rules, age and grade eligibility, and fees. Age groups we show are calculated from birth month/year and season rules and may not match every sanction's rules. A grade exception is self-reported.

10. Limitation of liability

To the fullest extent the law allows, Select Transfer Portal, LLC is not liable for indirect, incidental, special or consequential damages, or for anything that happens between users on or off the Service. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim, or $50 if you paid nothing.

11. Ending your account

You can delete your account at any time in Settings. We may suspend or close accounts that break these Terms. Sections that by their nature should continue (such as 9, 10 and 12) continue after your account ends.

12. Governing law

These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Texas, unless the law requires otherwise.

13. Changes

We may update these Terms. If the change is significant, we'll let you know on the site or by email, and we may ask you to accept the new version. The "Last updated" date shows the current version.

Privacy Policy

This policy explains what Select Transfer Portal, LLC ("we", "us") collects on selecttransferportal.com, what other people can see, and the choices you have.

The short version: accounts are for parents and coaches only. Your player's name is never shown. You decide what coaches see. We don't sell your data, we don't show ads, and we don't use third-party trackers.

1. Who the Service is for (children's privacy / COPPA)

• The Service is for parents/guardians and coaches who are 18 or older. There are no child accounts.
• A parent creates a profile about their player. We don't knowingly collect personal information directly from children under 13. If we learn that a child has created an account or sent us information, we'll delete it. Contact us through the contact form if you think this has happened.
• Your player's name is optional and private. If you enter a nickname to help you recognize the profile, it is never shown to anyone else. We never show a specific school, only a school district if you choose to.

2. What we collect

Account (everyone): email address, password (stored hashed by our auth provider, never readable by us), account type, display name, when you accepted these policies, and email preferences.

Parent accounts: parent name, email, optional phone and phone type, and your player's details: ZIP code, birth month and year, an optional grade-exception flag, positions and sport-specific details (for example bats/throws), years of experience, optional school district, optional notes and highlights link, sport, pickup availability, and your visibility settings.

Team Coach accounts: your name, coach type, optional phone, and team details: name, sport, age group, level, practice ZIP and area, an optional practice-field street address, coaches, contact email/phone, tryout information and links, openings, pickup posts, and optional logo, team and coach photos.

Private Coach accounts: name, sports, specialties, ZIP and service area, an optional facility address, rates, contact details and links you choose to show, an optional photo, and ratings that parents give you.

Activity on the Service: favorites you save, ratings you give, reports you file, messages Team Coaches send through the relay (stored so we can deliver them and prevent abuse), and messages you send us through the contact form.

Billing (paid plans): plan, status, trial and renewal dates, and promo codes, all received from Stripe. We never receive or store your card number.

Technical: our hosting providers keep standard server logs (such as IP address and browser type) for security. To limit abuse of the contact form, we store a one-way hash of the sender's IP address, not the address itself. If a page hits a software error, your browser sends us the error message, the page it happened on and the browser name and major version (for example "Chrome 141") so we can fix it. We remove email addresses, web-address parameters and long codes from these reports, and they're never linked to you or your account.

Location: an optional home location you save in Settings (street address and/or ZIP) is private: only you can read it, and it is used only to measure distance for you. If you tap “Use my exact location”, your device location stays in your browser for that visit and is never sent to us. Player locations are only ever ZIP codes.

3. What other people see

Your player's name, birth month and birth year are never shown to anyone. Age group is calculated from them.

Parents choose a visibility setting:

• Invisible: your player doesn't appear in any search, and coaches can't message you.
• Anonymous (default): Team Coaches see age group, positions, years of experience and bats/throws. They don't see names, school district, notes or contact details. They can message you through the anonymous relay email, which hides your address.
• Full custom: you choose exactly which fields Team Coaches see (for example, parent name, school district, notes, highlights, email or phone).

Guests, other Parents and Private Coaches only see a limited, anonymous view (age group, positions, sport, ZIP). Turning off "Open to a new team" hides your contact details and turns off messages. You still appear as "Not looking right now" unless you're Invisible.

Team and Private Coach listings are public while they're active. Contact details are shown to signed-in users unless the coach hides them, and some details are shown to guests. A coach can hide their listing from search at any time.

4. Anonymous relay email

When a Team Coach contacts a family through the relay, we email the parent on the coach's behalf. The coach never sees the parent's email address unless the parent shows it or replies directly. We keep relay messages so we can deliver them, limit repeat messages, and look into abuse reports.

5. Photos

Coaches may upload a logo, team photo, coach photo or private coach photo. Upload only photos you have permission to share, and don't upload photos that identify a child by name or school. Photos are public on the listing. Anyone with an account can report a photo, and we may remove it.

6. Who we share data with

We don't sell your personal information and don't share it for advertising. We use these service providers to run the Service, and only for that purpose:

• Supabase: database, login and file hosting.
• Stripe: payments and subscriptions. Stripe handles your card details under its own privacy policy.
• Resend: sending email (relay messages, contact form messages, and account emails).
• Cloudflare: website hosting and delivery. Cloudflare also tells our site an approximate location for visitors (city, ZIP and region from your network) so we can show nearby results. We use it only in your browser for that visit and never save it.
• U.S. Census Bureau geocoder: turns a practice-field, facility or home address (or an address you type to see distances) into map coordinates. We send only the address text.

We may also share information if the law requires it, to protect someone's safety, or as part of a business transfer (in which case this policy would still apply to your information).

7. Cookies and local storage

We don't use advertising or analytics cookies, and we use no third-party trackers. Your browser's local and session storage holds only what the site needs to work: your login session, and a few preferences for the current visit (such as the sport you picked on a search page, and a location you typed or shared to see distances). Our traffic counts are anonymous totals per page per day, with no identifiers or cookies.

8. Emails

We send essential emails that you can't turn off while you have an account: account confirmation and password resets, payment receipts and billing notices (from Stripe), and relay messages from Team Coaches (you control these with your visibility and "Open to a new team" settings). We also send a one-time welcome email when you finish setting up your account. Optional emails, such as the free-trial-ending reminder (about 2 days before a trial ends), the yearly renewal reminder (about 7 days before), and pickup/product news, can be turned off in Settings.

9. Keeping and deleting your data

• We keep your information while your account is open.
• Download my data: in Settings you can download a copy of your account data as a JSON file.
• Delete my account: in Settings you can delete your account. This cancels any subscription immediately and permanently deletes your profile, player or team or private coach listing, photos, favorites, ratings, reports and messages from our database and file storage.
• Some records are kept after deletion where we need them: Stripe keeps payment and invoice records for tax and accounting. Our providers' backups and security logs expire on their normal schedule (usually within 30 days).
• Contact form messages are deleted automatically after 12 months (sooner if you ask).
• Records of account emails we've sent (type, address, delivery status) are deleted after 6 months.
• Error reports are deleted 90 days after the error was last seen. Anonymous page-view totals are kept for about 13 months.

10. Security

Data is encrypted in transit (HTTPS). Access is limited by database rules, so for example coaches only receive the player fields your settings allow. No system is perfectly secure. Please use a strong, unique password.

11. Your choices and rights

You can view and edit your information in your profile, change visibility at any time, download your data, or delete your account. If you have a privacy request or question, use the contact form (topic "Other" or "Report a concern").

12. Changes

If we make significant changes, we'll let you know on the site or by email. The "Last updated" date shows the current version.
